Model answer
A DBMS (MS-Access, MySQL, Oracle) stores, organizes and retrieves databases with tables, validation, queries, forms and reports — e.g. EPF's member-contribution registry instead of scattered ledgers.
Indexing is a fast-lookup structure (book index) on frequent fields.
Why indexing:
- Faster search —
EmployeeIDindex finds salary slip without scanning lakhs of rows. - Faster sort/join — Indexed dates join monthly collections quickly.
- Uniqueness — PK/unique index blocks duplicate member IDs.
- Trade-off: speeds reads but slows inserts and uses space — index only searched fields like ID and Date.
