Model answer
A query is a saved question to the database that retrieves or modifies data from one or more related tables via SQL or Design View.
Process:
- Create: Create → Query Design → add tables (e.g. Farmer + Distribution linked by FarmerID) → drag fields → set criteria (e.g.
District="Chitwan") → Run. SQL view showsSELECT Name, Qty FROM Farmer WHERE District='Chitwan';. - Modify: Open in Design View → add/remove fields, change criteria/sort, switch to SQL for fine edit → Save.
- Delete: Right-click query in Navigation Pane → Delete (only deletes saved question, not tables/data).
Select vs Update with examples:
- Select Query (retrieve, no change):
SELECT Name, Qty FROM Distribution WHERE Qty>10;— lists big dealers for inspection. Can join: farmer names + their urea qty via FarmerID link. - Update Query (bulk change):
UPDATE Distribution SET Rate=Rate*1.05 WHERE Year=2083;— raises all 2083 rates 5% at once. Always backup and Preview (switch to Select view) before Run — Update cannot be undone easily.
