Data types define what kind of value a field can hold, how much space it takes, and what operations are allowed. Correct types prevent errors and save storage. Examples from MS-Access (same idea in MySQL):
- Text (Short/Long) — Names, addresses.
Sita Sharma. Short ≤255 chars, Long for remarks. - Number — Age, quantity. Subtypes Byte/Integer/Long/Double by range. Example: Marks with rule 0–100.
- Currency — Money with Rs. formatting. Example: Salary 45,000.00.
- Date/Time —
2024-01-15; allows age/duration calculation. - Yes/No (Boolean) — True/False checkbox. Example: Present/Absent.
- AutoNumber — Automatic serial ID, ideal primary key.
- Attachment/OLE — Photos, scanned PDFs (e.g. citizenship scan).
Choose by use: phone that is never calculated can be Short Text to preserve leading 0; fee must be Currency, not Text.
