Word Processing is the creation, editing, formatting, storing, and printing of text-based documents using specialized computer software.

Features of Microsoft Word:

  1. Text Formatting — Font styles, sizes, colors, bold, italic, underline
  2. Paragraph Formatting — Alignment, spacing, indentation, bullets, numbering
  3. Page Layout — Margins, orientation, columns, page breaks, headers/footers
  4. Tables — Insert and format tables with rows and columns
  5. Spell Check and Grammar — Automatic error detection and correction
  6. Find and Replace — Search for specific text and replace throughout document
  7. Track Changes — Collaborative editing with revision marks
  8. Mail Merge — Generate personalized bulk documents

Mail Merge Steps:

  1. Open Main Document — Create the letter/document template in MS Word
  2. Select Recipients — Choose data source (Excel file, Access database, or new list)
  3. Insert Merge Fields — Place field placeholders like <<Name>>, <<Address>> in the document
  4. Preview Results — Check how merged documents will look with actual data
  5. Complete the Merge — Print all merged documents or save as individual files

Example: Sending appointment letters to 100 employees — create one template, link to an Excel sheet with employee data, and merge to generate 100 personalized letters.
